The paperwork
Plain language, one page. Last updated 26 August 2026. Questions and requests go to secretariat@liberiacocoacluster.org.
Who is responsible. The Liberia Cocoa Cluster secretariat is the data controller for this site. You can reach us at 17th Street, Sinkor, Monrovia, Liberia, or by email at secretariat@liberiacocoacluster.org. We handle personal data under Liberian law and, where the GDPR applies to you — because you are in the EU or EEA, or because you are dealing with an EU buyer through us — under that regulation too.
What we will never do. We do not sell personal data, we do not run advertising, and we do not use your data to make automated decisions that have a legal or similarly significant effect on you. Membership decisions are made by people at the secretariat.
| Data | Why we have it | Lawful basis | How long |
|---|---|---|---|
| Account details | Name, email, phone and password so you can sign in and we know who is editing a profile. | Contract — we cannot give you a member account without them. | While the account exists, then 90 days. |
| Company profile | Everything you choose to publish in the directory: description, location, products, photos, officers. | Contract, and your choice about what to publish. | While the membership runs. Removed within 30 days of a deletion request. |
| Enquiries & messages | So the member you contacted can reply, and so the secretariat can resolve disputes. | Legitimate interest in operating a trading platform. | 3 years from the last message. |
| Payment records | Membership fees: amount, date, method and the gateway's reference. | Legal obligation — accounting records must be kept. | 7 years. We never hold card or wallet credentials. |
| Newsletter subscription | To send market updates and event notices you asked for. | Consent — withdrawn by the unsubscribe link in any email. | Until you unsubscribe. |
| Site analytics | Counts of page views, searches and enquiries. No IP address, no device identifier, no profile of you. | Legitimate interest — it is aggregate, and cannot be traced to a person. | 24 months. |
| Google Analytics | Which pages and countries the site is used from, if — and only if — you accept analytics cookies. | Consent. Off until you say yes, and reversible below. | 14 months, by Google. |
Who else sees it. Payment processing is carried out by Flutterwave and PayPal, who act as independent controllers for the transaction itself. Email delivery and hosting are handled by our service providers under contract. If you accept analytics cookies, Google LLC receives the usage data described above.
Transfers outside the EEA. Liberia has no EU adequacy decision, and Google processes analytics data in the United States. Where GDPR applies, those transfers rely on Standard Contractual Clauses. Ask us and we will tell you which provider holds what.
Published profiles are public. That is the point of a directory. Anything in a company profile, product, listing or job post can be read by anyone and indexed by search engines. Keep personal contact details out of it unless you intend them to be found — use the enquiry form instead, which does not expose your address.
You can ask us to:
Signed-in members can do the first and the third themselves, immediately, from Your data in the member desk. Everyone else writes to secretariat@liberiacocoacluster.org and we answer within 30 days.
If you think we have got this wrong, tell us first — we would rather fix it. You also have the right to complain to your national data protection authority.
The platform exists to connect Liberia's cocoa value chain. Listings, offers and prices are published by members and by the secretariat in good faith; verify commercial terms directly with your counterparty before committing. Market figures are reference information, not an offer to trade.
Members are responsible for the accuracy of their profiles and listings. Misrepresentation of certifications, volumes or verification status is grounds for suspension. Membership fees follow the published tier schedule and are not refundable once a membership year has started, except where required by law.
The secretariat may edit or remove content that is unlawful, misleading or abusive, and may suspend accounts that breach these terms. Liberian law governs these terms; disputes are heard in the courts of Montserrado County.
